    ACRAA (formerly MSAANZ) Membership and Administrative Coordinator

    Contract role | Approx. 10 hours per month

    About ACRAA

    The Association of Cultural Retailers of Australia and Aotearoa (ACRAA) is the only professional organisation dedicated to supporting and advancing cultural retail across Australasia. We connect museum, gallery, zoo, library and visitor-attraction retailers with suppliers, knowledge, professional development and each other -strengthening the sector through shared learning, visibility and collaboration.

    ACRAA exists to grow a connected, informed and engaged community of members, supporting excellence in cultural retail and strengthening the role retail plays in telling stories, supporting institutions and creating meaningful visitor experiences.

    The Opportunity

    We are seeking a positive, organised and people-centred Membership and Administrative coordinator to help bring ACRAA’s purpose to life across our digital channels and member communications.

    This role plays a vital part in:

    • Growing and retaining ACRAA membership
    • Strengthening connections between members, suppliers and the Board
    • Increasing engagement, visibility and value across newsletters, social media, events and the website

    Working closely with the Board, this role helps ensure ACRAA’s communications are warm, professional, consistent and member-focused, while supporting the smooth delivery of professional development, events and conferences.

    Key Focus Areas (aligned to ACRAA’s purpose)

    1. Member Engagement & Community Building

    • Support a welcoming, inclusive and connected member community
    • Promote professional development opportunities, events and member stories
    • Drive and own new member onboarding and engagement
    • Encourage participation, sharing and connection across digital platforms

    2. Communications & Storytelling

    • Quarterly Newsletter (priority activity)
    • Research, curate and create engaging content relevant to members
    • Coordinate and edit the President’s report
    • Identify and liaise with members and suppliers for articles, images and features
    • Manage advertising placements and advertorials in line with specifications
    • Coordinate proofing with the Board and distribute to members
    • Upload newsletters to the website

    Optional / growth opportunities (time permitting):

    • Supplier-only communications
    • Non-member or industry-facing newsletters
    • Collaboration with aligned industry newsletters and organisations

    3. Digital Presence & Social Media

    • Create and schedule posts across LinkedIn, Facebook and Instagram
    • Share stories that highlight members, suppliers, events and sector insights
    • Support community engagement through comments, sharing and story posts
    • Manage Facebook events, ticketing and community group activity
    • Respond to messages and support member enquiries

    (Posting frequency and engagement levels to be agreed and balanced within available hours.)

    4. Membership Growth & Promotion

    • Support membership drives and promotions
    • Promote the value of ACRAA membership through digital channels
    • Support referral initiatives
    • Coordinate new member welcomes (email, social media, newsletter mentions and Board introductions)
    • Stay informed of member organisations’ activity to help share relevant updates

    5. Event & Conference Support

    • Online and Local Events
    • Assist with planning and promotion of conferences and forums
    • Coordinate registrations, Zoom links and attendee communications
    Annual Conference Pre-conference:
    • Support ticketing, website updates and promotional assets
    • Prepare speaker profiles, name badges and attendee lists
    • Source quotes for AV, catering or suppliers as required

    During conference:

    • Attend and support delivery (in-person and/or online)
    • Assist with tech support, photography and social media sharing

    Post-conference:

    • Support upload of recordings and content
    • Coordinate post-event surveys
    • Assist with highlights content and reporting

    6. Board & Operational Support

    • Support Board administration, minutes and action tracking
    • Manage general inbox and triage enquiries
    • Convert actions into task management tools (e.g. Trello)
    • Maintain member records and resolve bounced emails
    • Support documentation, role descriptions and operational processes

    7. Website Support

    • Update banners, images and content as required
    • Upload newsletters and event information
    • Post job vacancies and event listings
    • Support ticketing and web copy updates

    Time Commitment 

    This is a flexible remote contract role of approximately 10 hours per month. Workload varies throughout the year, with predictable peak periods such as the quarterly e-newsletter, annual conference, and selected project activity. Priorities will be planned with the Board to ensure the workload remains balanced.
